Keys to Hope Foundation (“Keys to Hope,” “we,” or “us”) respects your privacy. This policy explains what information we collect through keystohope.foundation, how we use it, and how to contact us about it.
Information We Collect
When you use our contact form, we collect the information you provide, such as your name, email address, phone number, subject, and message.
When you submit a Vehicle Offer Form, we collect your contact information and the vehicle details you provide, such as its year, make, model, mileage, location, ownership and title status, and known condition. If you email us vehicle photos, we receive those photos and the information included in your email.
If you make a donation, we receive information needed to record and acknowledge it, such as your name, contact details, donation amount, and any preference you provide about public recognition. Payment information is handled through ZEFFY; please review that provider’s privacy policy for information about its practices.
When our vehicle assistance application opens, applicants may provide information relevant to eligibility and selection, including contact details, San Diego County residency, transportation needs, financial circumstances, driver’s license and insurance readiness, and supporting documents. We will request information relevant to administering the program.
Our website and service providers may also receive technical information needed to operate and protect the site, such as browser information, IP addresses, and activity recorded in server or security logs.
How We Use Information
We use information to respond to messages; review vehicle offers; process and acknowledge donations; administer the Founding 100 campaign; review vehicle assistance applications when the program opens; maintain required records; and operate, maintain, and protect our website.
Submitting a contact form or vehicle offer does not add you to a fundraising email list unless you separately choose to receive those messages.
When We Share Information
We limit access to people who need information to carry out Keys to Hope’s work, including authorized staff, volunteers, board members, and application reviewers. We may share information with service providers that help us host the website, operate forms and email, process donations, or maintain records. We may also disclose information when required by law or when reasonably necessary to protect the rights and safety of the foundation or others.
We do not publish vehicle offer details or assistance application information simply because someone submitted a form. A donor may be recognized publicly as a Founding 100 supporter only if they give us permission to display their chosen name.
Forms, Email, and Backups
We use WPForms to receive website forms. Submissions may be delivered to our designated email inboxes and stored or backed up according to our WPForms settings. We have enabled WPForms Lite Connect, which creates encrypted cloud backups of form entries.
Information sent by email, including vehicle photos, may remain in our email accounts and their backups. Please do not send Social Security numbers, detailed medical records, or other highly sensitive information through a general contact form or ordinary email.
Cookies and Other Website Tools
Our website may use cookies or similar technologies needed for site functions, security, and forms. If we use analytics, embedded content, or other tools that collect visitor information, we will update this policy to describe them. You can manage cookies through your browser settings, although disabling some cookies may affect site functions.
How Long We Keep Information
We keep information for as long as reasonably needed to respond to inquiries, review offers or applications, administer donations and programs, maintain records, and meet legal or accounting obligations. Different records may be kept for different periods. When information is no longer needed, we will take reasonable steps to delete it or dispose of it securely.
Security
We take reasonable steps to limit access to personal information and protect it against unauthorized access, loss, or misuse. No website, email system, or method of electronic storage can be guaranteed completely secure.
Your Requests
You may contact us to ask about personal information you have submitted, request a correction, or request deletion. We will review your request and respond as appropriate, subject to information we need to retain for legal, accounting, safety, or program records.
Other Websites
Our site may link to donation services and other websites that Keys to Hope does not operate. Their privacy practices are governed by their own policies.
